General Manager

ABOUT THE ROLE

The General Manager is an integral member of Vineyard Theatre’s leadership team. Reporting to the Managing Director, the General Manager leads the day-to-day administrative operations and strategic growth of a $3MM non-profit theatre. This position plays a critical role as an organizational strategist and advisor to the Managing Director, partnering on initiatives ranging from business modeling, culture building, risk management, and Inclusion, Diversity, Equity and Accessibility (IDEA). This position collaborates with the Artistic Director, Director of Production and other senior staff to annually deliver three exceptional Off-Broadway productions to over 20,000 patrons and serving 150 artists in New York City and beyond. The ideal General Manager brings a high level of emotional intelligence, non-profit finance and administration experience, and a love for producing live performance events.

RESPONSIBILITIES, include but are not limited to the following:

CONTRACTING

– Responsible for shepherding, negotiating and fully executing all artistic licensing, commissioning, underlying rights, and other production-related agreements. Supports Managing Director on co-production and commercial enhancement agreements.

– Act as Vineyard Theatre’s liaison for all collectively bargained agreements with artists’ unions (AEA, SDC, USA) and all other union agreements (AFM).

– Oversees the relationships with external legal counsel on HR legal issues.

– Reviews all significant contracts for the organization and advises the Managing Director on any significant legal issues.

– Responsible for negotiating and administering all Author, Actor, Designer and Director contracts.

– Oversees the annual general and Workers Compensation insurance bidding and contracting, ensuring the theatre has appropriate insurance for its business needs.

FINANCIAL AND GOVERNANCE

– Responsible for overseeing, accomplishing, and actively monitoring the annual operating budget.

– Oversees the successful financial management of the theatre, including accounting processes, internal control, and treasury management.

– Oversees monthly, quarterly and annual financial reporting used by the staff and board, and acts as the strategic financial leader developing reporting for regular decision-making at the staff and board level.

– Responsible for annual and semi-regular compensation analysis, making recommendations to Managing Director.

– Oversees compliance and, working with the Comptroller, responsible for annual completion of a successful audit process.

– The General Manager is a thought leader and staff liaison with two committees of the Board of Trustees, including the Finance and Facility committees.

HR

– Partners with the Managing Director and HR Consultant to develop a holistic people and culture strategy that deepens the commitment to inclusion, diversity, equity and accessibility (IDEA) at Vineyard Theatre.

– Manages recruitment, onboarding, and performance review processes that center anti-racist practices and values.

– Administers and monitors all HR benefits and compliance items.

– Identifies and manages IDEA partner relationships and recruits facilitators and outside support, when needed.

– Supports and shepherds affinity spaces for interested staff.

DESIRED EXPERIENCE, SKILLS & QUALIFICATIONS

– 5+ years of arts administration experience with increasing levels of responsibility preferred; or equivalent education and work experience with preference given to candidates with a non-profit background.

– Genuine joy found in the arts preferably with a demonstrated passion for theatre.

– Person of deep integrity who demonstrates good judgment and trustworthiness.

– Confident competence in project management, theatrical budgeting, financial planning and personnel management.

– Comfortable negotiating with unions, lawyers, and agents.

– Ability to foster and maintain positive relationships with artists, agents, colleagues, vendors, community partners, patrons, volunteers, and community members.

Compensation

$85,000-$95,000 annually, based on experience.

Full-time benefits include: health insurance (100% covered by Vineyard Theatre), vision and dental insurance (employee contributes), 10 days vacation, 11 staff holidays, 403(b) plan with 1% employer match after 1 year, life insurance, and commuter benefit packages.

Director of Production

ABOUT THE ROLE

Reporting to the Managing Director with both revenue and expense management responsibilities, the Director of Production is a senior staff position leading a team of three facilities and production focused team members including the Facilities and Technical Manager and a Production and Operations Manager at The Vineyard. The Director of Production will work closely with the General Manager and Artistic Directors on season productions and new plays and musicals in development as well as on special events such as the annual Gala.

GENERAL RESPONSIBILITIES:

– Support Executive team in planning and producing all work in all stages of development and season programming at the theater, including managing and editing Season Production Calendar.

– Discuss prospectived productions with Artistic Director to understand vision and potential scope for each project. Create production budgets in collaboration with General Manager.

– Engage with artists to identify the resources required to design a production within The Vineyard’s budget and available resources. MManage assumptions and problem solve with General Manager if changes or requests for more resources occur. Assist in setting expectations and ideate solutions with creative teams.

– Overseeing the production process and providing leadership to production staffing.  Set production deadlines and goals and provide the necessary oversight.

– Hire production department heads per project, including technical director, production audio, video and lighting, wardrobe supervisors, props supervisors, and all programmers and running cirew as needed.  Review all vendor bids and negotiate all final agreements regarding rentals and/or shop builds.

– Supervise Production Manager.  Help to hire and onboard the production team, as well as all production department heads. This will include contract negotiations with labor companies as needed.

– Supervise Facility and Technical Manager, including oversight of facility schedule and maintenance in regards to production and  special events. Strategize with Facilities Manager on achieving rental goals and staffing, working with Comptroller and General Manager to assess and track income relative to goals.

– Oversee the planning and design of capital improvements for theater, studio, and theatrical equipment upgrades as needed, including coordination for funding with the development department.

– Attend weekly staff meetings, and as needed production meetings, post mortems, and board meetings.

– A more detailed list of duties and regular tasks will be provided through the interview process and in a full job description agreed to by both parties prior to hire.

Desired Experience, Skills & Qualifications

– Minimum of five years diverse experience working as a Production Manager and/or Technical Director, or similar role, at a similar-sized or larger professional dance, music and theater organization, including but not limited to; commercial, non-profit, touring and regional productions.

– Strong technical skills and experience, including a basic understanding of theatrical lighting, special effects, rigging, set construction, costuming, audio production, video production, and prop acquisition.

– Solid understanding and experience with IATSE and USAunions and their respective contracts.

– Clear and persuasive communicator, both written and verbal.

– Ability to work collaboratively and effectively problem solve with designers and directors with a full understanding of the artistic process and excellent interpersonal, teamwork, and diplomacy skills.

– Ability to multitask and work effectively while managing multiple priorities.

– Solid understanding of proper safety protocols for theatrical productions, OSHA, FDNY fire codes, and general standard building codes. FDNY Certificates of Fitness will be required, but can be attained after hiring. Supervision of Fire Alarm Systems and Other Related Systems (S-95)

– COVID-19 Compliance Officer Certification for entertainment production will be required,  but can be attained after hiring.

Marketing and Graphic Design Intern

ABOUT THE POSITION

The Marketing Graphic Design Intern will work primarily with the marketing department under the supervision of the Director of Marketing. Duties include assisting the Marketing department with graphic design, video editing, social media management, website updates, archive maintenance, administrative tasks and various research projects, the general promotion of productions, and the many things that come up throughout a season. We are looking for organized, detail-oriented, creative, and motivated candidates who are interested in learning more about the inner-workings of a successful Off-Broadway marketing operation. We’ll tailor the internship towards the interests and growth of the intern and make this experience a structured and balanced one that will benefit the future career of the intern.

MS Office and Google Suite proficiency required. WordPress, Photoshop, and InDesign experience or other photography, graphic or video editing are a plus. Interns must be available around 15-20 hours per week. The ideal candidate will be able to join the team from late September to mid-January 2023 (exact timing is negotiable). We work a hybrid schedule of three days in the office and two days remotely per week. When the theatre is in production, we work four days a week in the office. 

This is a paid internship, with a maximum of 20 hours per week. The rate of pay is $15/hour. There may be additional potential paid opportunities to support the box office, but this is not guaranteed.

Internship is currently available for Fall 2022.
